On 10 July 2025, our impulse workshop on knowledge preservation with AI took place. The format combined compact theory, practical demonstrations and hands-on phases. The focus was the question: how can we preserve the experiential knowledge of departing employees before it is lost?
Part 1: process-based knowledge management as a foundation
The first part explained why demographic change puts companies under pressure and how process-oriented knowledge management can respond. Using the multidimensional process table, participants learned how knowledge can be structured, visualized and documented in processes.

Part 2: making experiential knowledge visible with AI
The second block focused on making implicit experience explicit. Several tools and methods were shown:
- •NotebookLM for analysing and structuring interview transcripts
- •Google Gemini for extracting content from videos without transcripts
- •Word Online for AI-supported outlines and text extraction
The workshop showed how a simple interview can become a podcast, a written guide or a structured process table without extensive manual rework.

Part 3: from explicit knowledge to process-based structure
In the third part, the extracted knowledge was transformed into structured, process-oriented formats using AI tools and custom GPTs.
- •A process table assistant transformed texts, screenshots and notes into structured HTML process tables.
- •A live demo showed how BPMN diagrams can be generated automatically from tabular process descriptions.

Conclusion: practical, future-oriented and immediately usable
The workshop showed how process-oriented knowledge management and AI tools can complement each other. Whether onboarding, training or succession planning: anyone who wants to preserve knowledge today needs structured process thinking and digital tools.
